Learn how to set up automatic dashboard emails, report exports, and KPI alerts for dynamic dashboards.
Overview
Setting up automatic dashboard emails, report exports, and KPI alerts allows you to stay up to date with the data and information provided by Insights without having to manually log into Kantata OX and view the dashboards and reports.
How to Schedule Dashboard Emails
You can set up a recurring email of a dashboard to your desired recipients. The dashboard is sent as a PDF attachment.
- In the upper-right of the dashboard, select the More
icon and then select Schedule emailing. - In the modal that appears, click Add schedule.
- In the To field, your user will be populated. You can add additional people to receive the email. You can select from the list of existing Insights users or type an email address.
Note: If you add a recipient that does not have access to view the dashboard, the user will not receive an email and you will be notified when the email fails to deliver. - The Subject and Message fields are automatically populated, but you can edit them to enter your own content.
- You can click Select attachments to include specific reports as additional attachments in the email.
- In the Reports (CSV, XLSX) section, check the reports to include as additional attachments, then click Apply.
- Select Format options to choose whether the reports are sent as a CSV or XLSX attachment, then click Apply.
- Select a date and time for the First occurrence of the email.
- In the Repeats drop-down menu, select how often the email should be sent.
- Click Schedule.
How to Schedule a Report Export
You can set up a recurring email of individual reports to your desired recipients. The reports are sent as CSV or XLSX attachments.
- In the dashboard, hover over the report you would like to export, then select the More icon.
- In the menu that appears, select Schedule export.
- In the modal that appears, your user will be populated in the To field. To add additional people to receive the email, select from the list of existing Insights users or type in an email address.
- The Subject and Message fields are automatically populated, but you can edit them to enter your own content.
- Select Select attachments to include specific reports as additional attachments in the email.
- Select Format options to choose whether the reports are sent as a CSV or XLSX attachment.
- Select a date and time for the First occurrence of the email.
- In the Repeats drop-down menu, select how often the email should be sent.
- Click Schedule.
How to Delete a Scheduled Email
You can unsubscribe from a scheduled dashboard or report email by clicking Unsubscribe in the email. Alternatively, you can delete the scheduled email within Insights. This allows you to delete scheduled emails for others.
- In the upper-right of the dashboard, select the More
icon, then select Schedule emailing. - In the modal that appears, select the created by me or all tab, then locate the scheduled email you want to delete.
- Hover over the email schedule, then select the Delete
icon that appears. - Click Delete in the confirmation modal that appears.
How to Export a Dashboard
You can save a copy of a dashboard to your computer as a PDF file.
In the upper-right of the dashboard, select the More
icon, then select Export to PDF. The file is saved to your computer.How to Export a Report
You can save a copy of a report to your computer as a CSV or XLSX file.
- In the dashboard, hover over the report you would like to export, then select the More icon.
- Select Export to XLSX or Export to CSV.
- If you select Export to XLSX, a modal with options appears. Select whether to Keep attribute cells merged and whether to Include applied filters.
- Select Export.
The file is saved to your computer.
How to Set Up KPI Alerts
You can set up an alert to be notified via email when a KPI value goes above or below a certain value.
- In the dashboard, hover over the KPI, then select the Alert
icon that appears to the upper-right of the KPI. - In the pop-up that appears, set up the condition of the alert.
- Click Set alert.
When the KPI value meets the condition, you’ll receive an email.
How to Update or Delete KPI Alerts
- In the dashboard, locate the KPI for which you set up an alert.
- Select the Alert
icon to the upper-right of the KPI. - In the pop-up that appears, update the condition and then select Update.
- To delete the alert, select Delete.
