User Permissions Needed: Account Administrator
Overview
Insights gives you visibility into team and resource utilization, project margins, revenue and cost forecasting, and other important business metrics. Insights also allows you to create custom reporting dashboards that contain specific sets of filtered data that only certain users can access. This way, you can limit sensitive account data to members who actually need it, allowing them to focus on the information relevant to their role, department, or organization.
Only accessible to Account Administrators, Insights Settings contains the following tabs:
- Dashboards—View and manage all of your classic dashboards from this page.
- Access Groups—Control who has access to classic dashboards and modify their level of access.
- Scheduled Exports—Schedule email deliveries of exported reports to specific people.
To access Insights Settings, hover over Settings in the left navigation, then select Insights.
Dashboards
From the Dashboards tab, you can create new Insights dashboards, export dashboard information that allows you to perform quick access audits for classic dashboards, and view all of your classic dashboards—Standard first, followed by Custom.
You can complete the following actions from the toolbar at the top of the page:

Export—Use this drop-down menu to export an Excel or CSV (comma-separated value) file that includes the classic Insights Access Groups and Account Members associated with each Dashboard. By exporting dashboard information, you can perform quick audits that allow you to see which members have access to specific classic dashboards. This is useful if you have financial data that you want to verify only certain users can access.

Create New Insights Dashboard—Click this button to create a new Insights dashboard; your new dashboard will appear at the bottom of the Custom dashboard list for you to rename and/or assign members.
At a glance, the Dashboards table allows you to see which classic Insights Access Groups (i.e. sets of members) have access to each dashboard; each dashboard can belong to multiple classic Insights Access Groups.
The following actions are available on this page:

Open Report—Clicking the Go To URL
Note: Account Administrators have access to all dashboards via URL, even if they can't see the dashboard in the left navigation or don't belong to that dashboard's classic Insights Access Group.
button opens the dashboard in a new browser tab. - Clone Dashboard—Click the Clone Dashboard button to make a copy of the dashboard. Your duplicate dashboard will appear at the bottom of the Custom list for you to rename and/or assign member access.

Delete Dashboard—Available only for custom dashboards, you can permanently delete a dashboard if you no longer need it by clicking the Delete Dashboard
Warning: There is no way to undo this action. Once deleted, a dashboard cannot be restored. Make sure you don't need this dashboard before deleting. For example, you can remove a dashboard from all classic Insights Access Groups first to verify it isn’t needed.

Access Groups

Classic Insights Access Groups are not currently part of Kantata OX's standard Access Groups settings and only control access to classic Insights dashboards. To manage access to dynamic Insights dashboards instead, use the Insights Access Group set within Settings > Access Groups. Data access—the level of information that is visible in dashboards—is also managed in the Insights Access Group set for both classic and dynamic dashboards.
From the Access Groups tab, you can create new classic Insights Access Groups, define which members have access to a selected set of dashboards, and export a list of your current groups in Excel or CSV format.
A classic Access Group is a set of members that all have access to the same Insights dashboards. With these user-defined classic Access Groups, you can give classic dashboard and report capabilities to any account member, regardless of permission level.
By default, certain Account Permission levels are automatically members of these default access groups:
- Admins—This group includes Account Administrators.
- Reports Viewers—This group includes Reports Viewers and Report Viewers with Cost.
The dashboards that these groups are authorized to access is determined by the individual dashboards assigned to the groups.
You can complete the following actions from the toolbar at the top of the page:

Export—Use this drop-down menu to export an Excel or CSV (comma-separated value) file that includes the classic Insights Access Groups, Access Levels, and Dashboards associated with each Account Member. By exporting access group information, you can easily see which members have access to which dashboards via Access Level and Access Group. This is useful if you have financial data that you want to verify only certain users can access.

Add Access Group—Click this button to add a new classic Insights Access Group from a blank Insights Details side panel.
The classic Insights Access Groups table shows you the following information.
- Access Group—The name of a classic Insights Access Group. Click to open the Insights Details side panel, where you can set the default groups, decide which dashboards each group can access, choose which members belong to each group, and more.
- Dashboards—The dashboards accessible to members of an Access Group.
- Members—The number of members belonging to a group.

Admin Default Group—When “default” appears in this column, this is the Access Group that new Account Administrators are assigned to automatically. If there is not an Admin Default Group set for any group, you will need to manually add Account Administrators to classic Insights Access Groups.
Note: If an existing account member's permission is updated to Account Administrator, they are not automatically added to the Admin Default Group and will need to be added manually. -
Reports Viewer Default Group—When “default” appears in this column, this is the Access Group that new Report Viewers and Report Viewers with Cost are assigned to automatically. If there is not an Reports Viewer Default Group set for any group, you will need to manually add Report Viewers and Report Viewers with Cost to classic Insights Access Groups.
Note: If an existing account member's permission is updated to Report Viewer or Report Viewer with Cost, they are not automatically added to the Reports Viewer Default Group and will need to be added manually. - Actions—Here you can Delete an Access Group; when you delete a classic Insights Access Group, all members belonging to the group will no longer have access to Insights.
Scheduled Exports
From the Scheduled Exports tab, you can see which reports are scheduled for exports, see when they were last exported, and use the Scheduled Data Exporter to create a new scheduled export.

Tip: If you want to export only specific data points and don’t need a whole report, try using the Data Exporter under Settings > Export. This tool allows you to export raw account data for use in external business intelligence tools, giving you the flexibility to select only the data you need.
