Preventing Salesforce from Creating Projects for Opportunities

Overview

This article outlines how to prevent Salesforce from creating a project in Kantata OX every time an opportunity in a specific stage is created.

Note: These instructions are for opportunities, not OLIs.

How to Create the Setting

1. Log in to Salesforce.
2. Navigate to the Setup screen.
3. Under the Build section of the Salesforce Mobile Quick Start, navigate to Customize > Opportunities > Fields.
4. Under Opportunity Custom Fields & Relationships, click New.
5. Select Checkbox for the type of custom field you want to create.
6. Click Next.
7. Give the custom Salesforce field a name. 
   • Field Label — The field name that shows up in displays, page layouts, reports, and list views.
   • Field Name — The field name used for integration purposes, such as custom links, custom s-controls, and the API. This field auto-populates when you click outside of the Field Label box.
8. Leave the Default Value as Unchecked.
9. Click Next.
10. Select permissions for who can view and edit the field. The field will be hidden from all profiles if you do not add it to field-level security.
    • Visible — Enabled only for users who can edit the field.
    • Read-Only — Enabled for users who can view the field, but not edit.
      Note: Visible is auto-selected with this, but the user cannot edit when Read-Only is also enabled.
11. Click Next.
12. Select page layouts that should include this field.
13. Click Save.
    The custom field will now display as a field when you are creating an opportunity.

How to Enable the New Setting

1. Navigate to Mavenlink Configuration > Integration Options.
2. Click Edit.
3. Under the Project Product Settings section, enable the Disable Processing by Opportunity field.
4. In the Disable Processing By Opportunity Field text field, enter the API name of the custom field you just created.
1. Open a new browser tab.
2. Navigate to the Setup page.
3. Under the Build section of the Salesforce Mobile Quick Start, navigate to Customize > Opportunities > Fields.
4. In the Product Custom Fields & Relationships section, find the custom field you just created. Find the API Name, and copy it.
5. Paste the API name into the Disable Processing By Opportunity Field text field.
5. Click Save. Kantata OX projects will no longer be created for Salesforce opportunities with this custom field enabled.
6. Test the configuration by creating an opportunity.
   Note: Only enable this field if you do not want a Kantata OX project to be created for it.
