Overview
The Exports Dashboard lets you download raw data for some of the most common types of data sets like Projects, Time Entries, and Invoices. You can download the data as is for a specified date range, or a specific date. You can also filter data sets and download only the data you need, such as specific projects, a member’s approved time entries, and more.
The Exports Dashboard pairs well with the Scheduled Data Exporter so you can automate the flow of data from Kantata OX to your business intelligence tool, data warehouse, or other external system. You don’t need to create separate reports for the Scheduled Data Exporter; you can use ones from the Exports Dashboard or customize them to suit your needs.
Note that filters do not apply when using the Scheduled Data Exporter.
How to Use the Exports Dashboard
There are three main parts to each tab in the Exports Dashboard:
- Filters
- ID Table
- Name Table
Filters
Each tab contains a set of filters that are unique to the tab. You can change the date range or select a specific date on all tabs but Resources and Skills.
The filters are listed in alphabetical order so you can quickly scan to find the one you need. Filters include attributes directly and indirectly related to the data set. Remember that attributes are the qualitative, categorical data that is used to aggregate reports; they are the how of reporting and are commonly used for dates, project, user IDs, etc. For example, under the Time Entries tab, you can filter for whether a time entry is billable, if it has been approved, and so on.
ID Table
The ID Table in each tab provides raw numeric data for the data set. You can expand and sort the columns before you export the data. Choose the More icon
to download data, and select the format you need, such as PDF, XLSX, or CSV.Exporting data from the ID Table is useful for joining multiple tables from different data sets since the ID is the unique identifier. This means that if two members share the same name, you can tell the difference between them. For example, if there are two members both named Fred Stevens, but only one of them has unsubmitted times entries, the ID Table will show you which Fred Stevens has unsubmitted time entries.
Data in the ID Table corresponds to the data provided in the Name Table.
Name Table
The Name Table in each tab is a mirror image of the ID Table. The difference is that it uses names rather than IDs, and is useful if you want to filter data for specific members.
Data Sets
Some of the most common data sets in Kantata, such as Time Entries, Expenses, Invoices, Allocations, Schedules, Projects, and Estimates, are contained within their own tab. Each tab has a set of filters, an ID Table, and a Name Table. You can export the raw data from either table regardless of whether you use any filters.
The column headers, or fields, for the tables vary depending on the data set since the headers correspond to attributes and facts related to the data set. See our Insights Attributes and Metrics article for definitions of each field.
