Overview
Tasks are the building blocks used to prioritize and schedule your work. Kantata has several valuable tools to help you with this important aspect of project management.
Task Types
Kantata has four task types available so you can categorize and organize a project’s tasks:
- Tasks—Items that need to be completed.
- Deliverables—Things that need to be produced (e.g. documents).
- Milestones—Project deadlines, marking the completion of a phase or stage of a project.
- Issues—Bugs or items that need to be resolved.
To learn more, see the Task Types article.
Task Dependencies
You can add task dependencies in the Gantt chart or Task Tracker to better define relationships between tasks and visualize the sequence in which they must be completed in order to close a project.
To learn how to add task dependencies, see the Gantt Chart Dependencies and Task Dependencies in the Task Tracker articles.
Managing Tasks in Kantata OX
There are several areas in Kantata OX where you can manage tasks and task details:
- Project Task Tracker
- Local Gantt Chart
- Global Task Tracker
- Tasks Gantt Chart
- Task Details side panel
- Resourcing
- Tasks Board
Project Task Tracker
The project Task Tracker is a project-specific list of tasks, deliverables, milestones, or issues that are required to complete a project.
You can access the Task Tracker in the project workspace by clicking on the Task Tracker tab.
To learn more, see the Project Task Tracker article.
Local Gantt Chart
The local Gantt chart gives a more detailed look at your project and the current status of all tasks and subtasks. This is also where you’ll be able to establish dependencies, giving your team a clearer picture of how their individual efforts affect the overall health of the project.
You can access the local Gantt chart in the project workspace by clicking the Gantt tab.
To learn more, see the Local Gantt Chart article.
Global Task Tracker
The global Tasks Tracker offers a customizable overview of all tasks, deliverables, milestones, or issues across all your projects—including those that have been completed or archived. The global Tasks Tracker can be configured and filtered to show only information that is relevant to you.
You can access the global Tasks Tracker by hovering over Tasks from the left navigation and then selecting All Tasks.
To learn more, see the Global Tasks Tracker article.
Global Tasks Gantt
The Global Tasks Gantt chart provides a high-level overview of your tasks for all active projects on your account. This helps you manage timelines and/or conflicts and share cross-project information for your users and other participants.
You can access the Global Tasks Gantt by hovering over Tasks from the left navigation and then selecting Tasks Gantt.
Task Details Side Panel
The Task Details side panel gives you instant access to task details and information, providing better context and visibility. You can access the panel by clicking on a task’s title from nearly anywhere in Kantata OX.
The side panel consists of several sections that allow you to view and edit task information:
- Details
- Activity
- Custom
- Checklist
- Proofs
- Time & Fees
- Scheduling
- Files
To learn more, see the Task Details Side Panel article.
Resourcing
Both the Resource Center and the project's Resourcing tab allow you to reference resource information and availability while managing tasks.
In the Resource Center, you'll need to expand both the project row and the resource row to expand task rows, which represent all tasks assigned to the resource. In the Resourcing tab, expanding the resource row will reveal all tasks assigned to the resource.
You can manage a task's resource estimated hours and scheduled hours, assign resources to additional tasks, unassign them from a single task or all tasks, and—in the Resourcing tab—you can open the Task Details side panel to review and modify other task information.
For more information on managing tasks in Resourcing areas, see Managing Task Assignments in Resourcing.
Tasks Board
The Tasks Board offers a card view of the project tasks that are found in the Task Tracker. Each project task is represented by a Task card so you can easily visualize a project’s workflow and prioritize the remaining work.
To access the Tasks Board, select the Boards tab in a project workspace. If To Dos are enabled, you’ll need to then select the Tasks button above the Board toolbar.
For more information on the Tasks Board, see Tasks Board Overview.
