Overview
Setting up automatic dashboard sheet emails and alerts allows you to stay up to date with the data and information provided by Expertise Insights without having to manually log into Kantata and view the dashboards. Scheduled emails send you a copy of a dashboard sheet as either a PDF or as images, while alerts notify you when a value in a visual crosses a certain threshold.
How to Schedule an Email
- In the left navigation, hover over Insights, then select Dashboards Home.
- Select Dashboards from the left menu, then select a dashboard from the list.
- Select the Scheduling icon in the upper-right of the dashboard, then select Schedules. The Schedules panel opens to the right.
- Select Add.
- Fill out the scheduled email details:
- Schedule name—This is a name for administrative purposes and only appears in the Schedules panel.

Dashboard view—Select which view to send. You can select one of your bookmarks or the original dashboard.

Content
- PDF—Toggle this to the On position to send the dashboard sheet as a PDF attachment in the email.

Sheet—Select which dashboard sheet to send in the email.

Dates—Configure the date, time, and frequency of the scheduled email.

Email
- Email subject line—Enter a subject line for the email. Although this field is optional, we strongly recommend entering a subject line, otherwise the email subject will be (no subject), which may cause confusion.
- Email recipients—Select a user to send the scheduled email to. Your user is auto-selected in this field. You can check Send to all users with access to send an email to all users the dashboard has been shared with. These options are only available if you are the dashboard owner.
- Email header text—This text appears at the top of the email body.
- Email body text—This text appears within the email body.
- Include sheet in email body—Check this option to include images of the dashboard sheet in the email body.

PDF options—When PDF is toggled to On in the Content section, you can choose to send the PDF as a Download link or File attachment. We recommend selecting the File attachment option.
- Select Send Test to send a test email now, which can help you confirm that the email looks the way you want it to look.
- Select Save. You can also select the caret icon and select Save and run now.
How to Edit, Pause, or Delete Scheduled Emails
- In the left navigation, hover over Insights, then select Dashboards Home.
- Select Dashboards from the left menu, then select a dashboard from the list.
- Select the Scheduling icon in the upper-right of the dashboard, then select Schedules. The Schedules panel opens to the right.
- To edit a scheduled email, select the More icon for the schedule you would like to edit, then select Edit.
- To pause a scheduled email, set the Active toggle to the Off position.
- To delete a scheduled email, select the More icon for the schedule you would like to edit, then select Delete. The scheduled email is deleted immediately.
How to Set Up an Alert
Alerts can be set up for the following visual types: KPI, gauge, table, and pivot table. Any filters applied to the visual also affect the alerts that you add.
- In the left navigation, hover over Insights, then select Dashboards Home.
- Select Dashboards from the left menu, then select a dashboard from the list.
- Select the sheet that the visual is on.
- Hover over the visual, then select the Create alert icon in the upper-right of the visual. The Create alert panel opens to the right.
- For table and pivot tables, select a cell in the table for the value you'd like to track.
- Fill out the alert details:
- Name—This is a name for administrative purposes and only appears in the Create alert panel.
- Value to track—Select the value that you want to set the alert for. If the visual contains only one value, this option may not be configurable.
- Condition—Select which condition to send an alert: when the value is above, is below, or is equal to a certain value.
- Threshold—Enter the threshold value for when the alert should be sent.
- Notify me—Select how frequently the alert should be sent: As frequently as possible, Daily at most, or Weekly at most. Note that the As frequently as possible option may result in multiple alerts per day.
- Email me when there is no data—Check this option to be notified even when there is no data to check your alert rule against.
- Select Save.
How to Edit, Pause, or Delete Alerts
- In the left navigation, hover over Insights, then select Dashboards Home.
- Select Dashboards from the left menu, then select a dashboard from the list.
- Select the Alerts icon in the upper right of the dashboard. The Manage alert panel opens to the right.
- To edit an alert, select the More icon for the alert, then select Edit alert.
- To pause an alert, set the Enabled toggle to the Off position.
- To delete an alert, select the More icon for the alert, then select Delete.
