Dashboard User Interface
The key components of Expertise Insights dashboards are as follows:
- Toolbar
- Sheets
- Controls (filters and parameters)
- Visuals and visual elements
1. Toolbar
On the left side of the toolbar are the following options:
- Home—Select the purple and pink icon to return to the dashboards or analyses list.
- Undo and Redo filter and table customization changes. This only affects your current view or bookmarked view; other users’ views are not affected.
- Reset your view to the original dashboard
In the middle of the toolbar are the following options and information:
- Favorite the dashboard
- The dashboard name
- The name of the selected bookmarked view. If changes have been made to the view and have not been saved to the bookmark, the text “(Modified)” appears at the end of the bookmark name.
On the right side of the toolbar are the following options:
- Scheduling—Select the Scheduling icon then select Schedules to set up a scheduled email or select Recent snapshots to see recently sent scheduled emails.
- Version history—View the dashboard’s version history. This option is only available if you are the dashboard owner.
- Bookmark—Save this view as a personal bookmark or view and manage all your bookmarks for this dashboard. Your selected filters and table customizations are saved.
- Export—You can Print the dashboard, Generate PDF and download it, or View exports to see and download previous exports.
- Filter—Opens the Filters panel, where you can add, edit, disable, and enable dashboard and visual-specific filters in your view.
- Save as—Save a copy of this dashboard as a new analysis. This option is only available if you are an Author.
- Share—Share the dashboard with other users. This option is only available if you are the dashboard owner.
- View—Select Fit to window to make the dashboard automatically expand to the full browser window size.
- Alerts—View and manage all your alerts for this dashboard. Alerts notify you when a value in a visual crosses a certain threshold.
2. Sheets
Below the toolbar are the various sheets of the dashboard. Select a sheet to see the visuals in that sheet.
3. Controls (Filters and Parameters)
Below the sheets are Controls, which contain dashboard filters and parameters. When the Controls section is collapsed, you’ll see the filter names and the current selections.
Click anywhere on the Controls bar to expand it.
When expanded, you can change the filters. Filters may apply to a single sheet or be cross-sheet. Your filters are remembered when you navigate between sheets and when you close and reopen the dashboard.
To reset a filter to its default selection, hover over the filter, select the More icon that appears to the upper-right, then select Reset.
Date filters include the following options:
- Relative date
- Absolute date range
Text based filters include the following functionality:
- Search bar
- Select all checkbox
- Show selected—Switches the view to show only the selected options, allowing you to easily unselect options.
Wildcard search is supported in text based filters:

*—Use an asterisk to match zero to many characters in a specific position.. For example,pr*would matchprojectandprint. -
?—Use an question mark to match a single character in a specific position. For example,p?o*would matchprojectandplot. -
\—Use an backslash to escape the wildcard characters (*,?, or\) and search for them in data.

4. Visuals and Visual Elements
On the sheet are visuals (i.e. reports) which may be charts, graphs, tables, data maps, plots, etc. Visual elements such as headers, images, and links may also be on a sheet.
You can hover your cursor over any area of a visual to get details on that element. For example, when you hover over a single bar on a bar chart, information about that specific bar displays in a tooltip.
Hover over a visual to see the following options:
- Customize—Only available for tables and pivot tables, this option allows you to add and remove dimensions and measures (i.e. columns and rows) from the table without affecting the published dashboard. You can then save your view as a bookmark to retain your customized view. Additional table customization options are available when you click on a table header. See the How to Customize Tables section below for more information.
- Maximize—Makes the element fit the width of the dashboard, allowing you to see information better.
- Sort visual—Only available for tables and pivot tables, this option allows you to sort data in tables.
- Applied filters—Select the View dashboard filters option to open the Filters panel to the right. You can add, edit, disable, and enable dashboard and visual-specific filters. This only affects your view; other users’ views are not affected.
- Create alert—Set up an alert to be notified via email when a value in the visual crosses a certain threshold. Only available for KPIs, gauges, tables, and pivot tables.
- Drill up, Drill down, and Drill up to top—If available, you can drill up to a higher level or drill down to more granular levels.

Menu options
- View summary data—Opens an alternative view of the visual in a modal, allowing you to see the visual’s data in another way, such as in a table.
- Export to CSV
- Export to Excel—Only available for tables.
- See contributors
You can click on data in a visual to focus on or exclude that data. If interactive actions have been configured for a visual, clicking on data in a visual may also filter the data in other visuals or open another sheet.
How to Share a Dashboard
Authors can share dashboards to grant access to other users.
- After publishing an analysis, open the dashboard.
- Select the Share icon in the upper-right of the toolbar, then select Share dashboard.
- To share the dashboard with all users who have access to Expertise Insights, toggle the Enable access for: Everyone in this account option to the On position.
- To share the dashboard with specific users, search for a user by their email address in the Invite users and groups to dashboard section.
- For a user, select the Add button.

Choose a permission level for the user: Viewer or Co-owner. The user is added to the Users & Groups section and can now access the dashboard.
Note: Only users with an Author license type can be made co-owner of a dashboard. - To remove a user’s access to a dashboard, select the Delete icon for that user in the Users & Groups section.
How to Customize Tables
You can add or remove columns and rows, sort data, change aggregations, and change field formatting in tables and pivot tables without affecting the published dashboard or other users’ views. You can save your view as a bookmark to retain your customized view.
- Hover over a table or pivot table.
- Select the Customize icon that appears to the upper-right of the table. The Customize panel opens to the right.
- Select the More icon for a field to access the following options:
- Sort by—Sort the table by one or more fields.
- Sort order—Sort data in ascending or descending order.
- Aggregate—Change how a measure (i.e. numerical value) is aggregated. The following aggregations are available to select: sum, average, count, count distinct, max, median, min, standard deviation, standard deviation - population, variance, variance - population, or percentile.
- Show as—Change how a measure (i.e. numerical value) is displayed. You can select number, currency, or percent.
- Format—Change the number formatting, including commas, decimal points, rounding, and currency symbol.
- Hide—Hide a field to temporarily remove it from the table The field can be unhidden in the Customize panel.
- Replace—Replace a field with another field. Only the default fields and additional fields configured by the dashboard author are available to select.

Remove—Remove a field. To restore the removed field, you must use the Add field option. Use the hide option instead if you would like to easily restore removed fields.
- Select the Add a field button to add a field to the table as a column or row. Only additional fields configured by the dashboard Author and previously removed fields are available to select.
- Select the blue Add field button in the Group by section to add dimensions, which are qualitative values such as text or date fields. In Kantata, dimensions are values such as projects, users, roles, etc.
- For pivot tables, select the blue Add field button in the Columns section to add dimensions, which are qualitative values such as text or date fields. In Kantata, dimensions are values such as projects, users, roles, etc.
- Select the orange Add field button in the Value section to add measures, which are numerical values. In Kantata, measures are values such as fees, actual hours, expense amounts, etc.
- Select the Reset visual button to reset all customizations made to the table.
Click on a table header to access the following options:
- Expand—For pivot tables, expand one or all items.
- Collapse—For pivot tables, collapse one or all items.
- Sort by—Sort the table by one or more fields.
- Sort order—Sort data in ascending or descending order.
- Hide—Hide a field to temporarily remove it from the table. The field can be unhidden in the Customize panel.
- Move left
- Move right
- Freeze column—Freeze a column so that it stays visible while you scroll horizontally.
- Freeze up to this column—Freeze a column and all columns to the left so that they stay visible while you scroll horizontally.
- Replace—Replace a field with another field. Only the default fields and additional fields configured by the dashboard author are available to select.
- Remove—Remove a field. To restore the removed field, you must use the Add field option. Use the hide option instead if you would like to easily restore removed fields.
- Customize—Opens the Customize panel to the right.
- Reset visual—Reset all customizations made to the table.
How to Save a View as a Bookmark
Save your selected filters and customized tables as a bookmark to quickly return to them. Your bookmarks are personal unless shared.
- Open an Expertise Insights dashboard.
- Select a sheet.
- Make changes to filters or customize tables.
- Select the Bookmark icon to the upper-right of the dashboard. The Bookmarks panel opens to the right.
- Select Add Bookmark.
- Enter a Bookmark name.
- Select Save. The bookmark name in the middle of the toolbar updates.
To open a bookmark, select the Bookmark icon to the upper-right of the dashboard, then select a bookmark in the Bookmarks panel that opens to the right.
To manage your bookmarks, select the Bookmark icon to the upper-right of the dashboard, then select the More icon for a bookmark. You can take the following actions:
- Update—Saves your current filters and table customizations to the current bookmark.
- Rename
- Set as default—Makes this bookmarked view open by default when you open the dashboard.
- Delete
How to Send a Dashboard as a Scheduled Email or Create Alerts
Setting up automatic dashboard sheet emails and alerts allows you to stay up to date with the data and information provided by Expertise Insights without having to manually log into Kantata and view the dashboards. Scheduled emails send you a copy of a dashboard sheet as either a PDF or as images, while alerts notify you when a value in a visual crosses a certain threshold.

How to Print or Export a Dashboard to PDF
- Open the dashboard.
- Select the Export icon in the upper-right of the toolbar.
- To print:
- Select Print.
- In the modal that opens, elect the Paper size, Paper orientation, and whether to Print background color.
- Select Go to preview. A preview opens.
- Select Print to the upper-right.
- To save a PDF:
- Select Generate PDF. A message appears to the upper-right indicating the PDF is being created.
- When the PDF is ready, a message appears to the upper-right indicating the PDF is ready. Select the Download button.
How to Export a Visual as a CSV or Excel File
- Open the dashboard.
- Hover over a visual, then select the More icon in the upper-right.
- Select Export to CSV. For tables and pivot tables, you can also select Export to Excel.
How to Generate an Executive Summary
An executive summary helps you quickly get key insights from dashboards. Executive summaries are generated based on the data in the current sheet and visual settings.
- In the left navigation, hover over Insights, then select Advanced Editor. The Advanced Editor opens in a new tab.
- Select Dashboards from the left menu.
- Select a dashboard from the list.
- Select the Create button to the upper-right of the dashboard.
- Select Executive summary.
