Overview
In the Task Tracker, you can use bulk action options to perform a specific action on a large number of tasks at the same time.
To access the bulk actions toolbar, select one or more tasks by checking the boxes in front of the task name in the first column of the table. This will cause the bulk actions to appear above the Task Tracker table, temporarily replacing the standard toolbar options.
How to Select Many Tasks at Once
To select many tasks at once, you can check a task, press Shift on your keyboard, then check a second task. All the tasks between the first and second task will be selected. To select subtasks as well, be sure to expand the hierarchy before selecting the tasks.
How to Bulk Archive Tasks
- In the left navigation, click Projects.
- In the Project List on the Projects page, select your project.
- In the project workspace, click the Task Tracker tab.
- In the task list, check the box to the left of each task you'd like to archive.
Tip: To select many tasks at once, check one task, press Shift on your keyboard, then check another task—all the tasks between the first and second task will be selected.
- In the bulk actions toolbar that appears above the Task Tracker table, click the Archive icon. The Archive Tasks modal appears.
- Click Archive to apply your changes.
How to Bulk Delete Tasks
- In the left navigation, click Projects.
- In the Project List on the Projects page, select your project.
- In the project workspace, click the Task Tracker tab.
- In the task list, check the box to the left of each task you'd like to delete.
Tip: To select many tasks at once, check one task, press Shift on your keyboard, then check another task—all the tasks between the first and second task will be selected. To select subtasks as well, be sure to expand the hierarchy before selecting the tasks.
- In the bulk actions toolbar that appears above the Task Tracker table, click the Delete icon. The Delete Tasks modal appears.
- Click Delete to apply your changes.
How to Bulk Change Task Types
- In the left navigation, click Projects.
- In the Project List on the Projects page, select your project.
- In the project workspace, click the Task Tracker tab.
- In the task list, check the box to the left of each task you'd like to change the task type for.
Tip: To select many tasks at once, check one task, press Shift on your keyboard, then check another task—all the tasks between the first and second task will be selected. To select subtasks as well, be sure to expand the hierarchy before selecting the tasks.
- In the bulk actions toolbar that appears above the Task Tracker table, click the Type button. The Change Task Type modal opens.
- Select the new task type for the selected tasks.
- Click Change Type to apply your changes.
How to Bulk Change Task Statuses
- In the left navigation, click Projects.
- In the Project List on the Projects page, select your project.
- In the project workspace, click the Task Tracker tab.
- In the task list, check the box to the left of each task you'd like to change the task status for.
Tip: To select many tasks at once, check one task, press Shift on your keyboard, then check another task—all the tasks between the first and second task will be selected. To select subtasks as well, be sure to expand the hierarchy before selecting the tasks.
- In the bulk actions toolbar that appears above the Task Tracker table, click the Status button. The Change Task Status modal opens.
- Select the new task status for the selected tasks.
- Click Change Status to apply your changes.
Note: If a Task Status Set is selected for your project, additional custom task statuses may appear in the Change Task Status modal.
How to Bulk Add Task Tags
- In the left navigation, click Projects.
- In the Project List on the Projects page, select your project.
- In the project workspace, click the Task Tracker tab.
- In the task list, check the box to the left of each task you'd like to add a tag to.
Tip: To select many tasks at once, check one task, press Shift on your keyboard, then check another task—all the tasks between the first and second task will be selected. To select subtasks as well, be sure to expand the hierarchy before selecting the tasks.
- In the bulk actions toolbar that appears above the Task Tracker table, click the Tags button. The Add Tags modal appears.
- Type the tag you'd like to add to the selected tasks, and then select Add [Tag Name] from the drop-down that appears.
- Repeat step 6 for each tag you’d like to add.
- Click Add [#] Tags to apply your changes.
How to Bulk Change Task Start Dates
- In the left navigation, click Projects.
- In the Project List on the Projects page, select your project.
- In the project workspace, click the Task Tracker tab.
- In the task list, check the box to the left of each task you'd like to change the start date for.
Tip: To select many tasks at once, check one task, press Shift on your keyboard, then check another task—all the tasks between the first and second task will be selected. To select subtasks as well, be sure to expand the hierarchy before selecting the tasks.
- In the bulk actions toolbar that appears above the Task Tracker table, click the Date button. The Change Task Start Dates modal opens.
- Type in a new date in the Start field or click the Calendar
icon to select one from the date picker that appears. - Click Change Dates to apply your changes.
How to Bulk Add Assignees
- In the left navigation, click Projects.
- In the Project List on the Projects page, select your project.
- In the project workspace, click the Task Tracker tab.
- In the task list, check the box to the left of each task you'd like to add assignees to.
Tip: To select many tasks at once, check one task, press Shift on your keyboard, then check another task—all the tasks between the first and second task will be selected. To select subtasks as well, be sure to expand the hierarchy before selecting the tasks.
- In the bulk actions toolbar that appears above the Task Tracker table, click the Assignees button. The Assign Members to [#] Tasks modal opens.
- Select each resource you want to assign to the selected tasks from the All Project Resources drop-down.
- Click Add [#] Assignees to apply your changes.
How to Bulk Duplicate Tasks
- In the left navigation, click Projects.
- In the Project List on the Projects page, select your project.
- In the project workspace, click the Task Tracker tab.
- In the task list, check the box to the left of each task you'd like to duplicate.
Tip: To select many tasks at once, check one task, press Shift on your keyboard, then check another task—all the tasks between the first and second task will be selected. To select subtasks as well, be sure to expand the hierarchy before selecting the tasks.
- In the bulk actions toolbar that appears above the Task Tracker, click the Duplicate button. The newly duplicated tasks appear at the top of the task list with the original task names.
The following fields are duplicated when you bulk duplicate tasks:
- Title
- Type
- Assignees
- Start Date
- Due Date
- Task Estimated Hours
- Resource Estimated Hours
- Task Budget
- Billable
- Fixed Fee
How to Bulk Update Task Budgets and Estimated Hours
- In the left navigation, click Projects.
- In the Project List on the Projects page, select your project.
- In the project workspace, click the Task Tracker tab.
- In the task list, check the box to the left of each task you'd like to archive.
Tip: To select many tasks at once, check one task, press Shift on your keyboard, then check another task—all the tasks between the first and second task will be selected.
- In the bulk actions toolbar that appears above the Task Tracker table, click the Update Estimates button. The Update Task Estimates modal appears.
- Select the task values to update:
- Task Budgets—If checked, task budgets will be set to the estimated fees ( resource estimated hours ⨉ bill rate for each assigned resource, for each assigned resource). Any tasks that have no resource estimated hours, have zero estimated fees, or have a budget already equal to the estimated fees will not be updated.

Task Estimated Hours —If checked, the task estimated hours will be set to the sum of all the resource estimated hours on the task. Any tasks that have no resource estimated hours or have task estimated hours that already equal the sum of resource estimated hours will not be updated.
- Click Apply.
How to Bulk Distribute Scheduled Hours to Tasks
After resource estimated hours have been added to tasks, you can evenly distribute these hours as scheduled hours to assignees on these tasks.
- In the left navigation, click Projects.
- In the Project List on the Projects page, select your project.
- In the project workspace, click the Task Tracker tab.
- In the task list, check the box to the left of each task you'd like to distribute scheduled hours to.
Tip: To distribute scheduled hours to subtasks, select the arrow to the left of a task name to expand the subtasks, then check the box of the subtasks you want to include. -
In the bulk actions toolbar that appears above the Task Tracker, click Scheduled Hours in the top-right corner of the screen, then select Distribute Scheduled Hours.
- In the Distribute Scheduled Hours modal, select Distribute Scheduled Hours to confirm that you want to replace all existing scheduled hours for assignees on each selected task with scheduled hours matching the resource estimated hours. The scheduled hours are evenly distributed between the task start date and end date.
Warning: Updating start dates, due dates, or resource estimated hours during the scheduled hours creation process could result in errors or unexpected scheduling results.
How to Bulk Clear Scheduled Hours from Tasks
- In the left navigation, click Projects.
- In the Project List on the Projects page, select your project.
- In the project workspace, click the Task Tracker tab.
- In the task list, check the box to the left of each task you'd like to clear scheduled hours from.
Tip: To clear scheduled hours from subtasks, select the arrow to the left of a task name to expand the subtasks, then check the box of the subtasks you want to include. - In the bulk actions toolbar that appears above the Task Tracker, click Scheduled Hours in the top-right corner of the screen, then select Clear All Scheduled Hours.
- In the Clear All Scheduled Hours modal, click Clear to confirm that you want to remove all scheduled hours from the selected tasks. The scheduled hours are deleted and no longer appear on the task.
