Overview
You can leverage User custom fields to outline role requirements for your resource demand, which can simplify your staffing processes and reduce communication roadblocks. You can either modify existing User custom field sets or create a specific set for your resourcing needs.
Specific custom fields—such as location, employee status, and internal client codes —can be valuable for matching resource supply and demand. You can further improve your processes by choosing to make these custom fields required, allowing you to standardize the information needed for staffing and ensure that users enter the information you need before staffing resources or submitting Resource Requests.
When you choose to make User custom fields available for resources, the Resource custom fields do not respect the Account Permissions set on the User custom fields. Instead, they are dependent on Resource Management Access Group permissions. In other words, if you can view a resource, you can view all their custom fields. If you can edit a resource, then you can edit their custom fields.
How to Create User Set Custom Fields for Resources
- In the left navigation, hover over Settings, then select Custom Fields.
- If you don’t have a User custom field set, you need to create one by choosing Add Custom Field Set, then selecting User. Otherwise, skip to step 4.
- Give it a clear, meaningful name, then click Add. The name appears under User Sets.
- To add fields to the User Set, click the name, then click the Add Custom Field button.
- Select the field type you want to add, give it a meaningful name, and set the appropriate Read and Write Permissions. By default, User custom fields are viewable and editable by Account Administrators.
Note: When User set custom fields are made available to resources, they can be used as Resource custom fields, which do not respect the Read and Write Permissions that are set for specific Account Permission levels. Instead, they are based on Resource Management Access Group permissions.
This means that Resource custom fields are visible—in the Resource side panel and early access Team Members tab—when users have access to see a resource and editable when users have access to edit resources. These same fields, however, will still respect the Account Permissions in areas where User custom fields are viewed, such as the User side panel. - When finished, click Add to create the field and return to the previous page.
- Select the Available to Resources checkbox to use this custom field for resourcing purposes. Once selected, this field appears under Custom Fields in the Resource side panel and as a resource column in the early access Team Members tab.
- Select the Hide Field checkbox to prevent the field from appearing in Resourcing areas. This may be desirable if you only want to leverage this field for reporting, filtering, or integration purposes.
- Select the Required for Staffing checkbox to ensure that users fill out this custom field before staffing an unnamed resource or submitting a Resource Request.
Note: If the field is hidden, you are unable to select Required for Staffing. To make the field required, you must first deselect Hide Field.
