Account Permissions Needed: Project Creator (or higher)
Overview
We know that some projects can be complex—with multiple tasks, deliverables and milestones. When you create templates in Kantata OX, or using the Kantata OX API , you’ll be able to define a common structure for your high frequency projects without having to start from scratch each time. It's a great way to consistently reproduce project details such as descriptions, durations, budgets, and currency.
TIP
Check out our sample templates and download example templates for various types of projects directly to your account.
Here are some of the features you'll get when you create project templates:
- Budgets—Include time estimates and weighted milestones for your tasks.
- Resource Mapping—You can create unnamed resources and map real account members so that they are automatically invited to the project and assigned tasks.
- Time—Enter a Start day (the day on which the task starts, relative to the project start day) and Duration for each task.
-
Checklists—Save time by adding checklist items directly to your template.
Note: You also have the option to convert all checklist items to To Dos when applying a template.
-
Gantt—Any dependencies that you create in the Gantt chart will be automatically reflected in the template.
Note: If your template contains circular dependencies, you will be unable to apply the template to a project. For more information, see Task Dependencies in Task Tracker.
- Tasks—Create a template that contains commonly recurring tasks; you can apply these tasks to an existing project at any time by clicking the Apply Template button in the project's Task Tracker tab or during the initial creation of a project.
- Additional Tabs—Add any custom form or Insights dynamic dashboard you want to the project, which will appear as an additional tab in the project workspace.
- Expense Budgets—Add expense budgets to track non-labor expenses and costs, independent from the labor planned in hours.
Settings and Permissions
A template is viewable to other account members by default. If the template creator sets the Sharing permissions as Private, no one else will be able to view it, including Account Administrators.
In addition to a template’s sharing permissions, your Account Permissions and Project Permissions determine which actions you are able to complete for templates. To create templates, account members need the following permissions:
Action | Required Account Permission | Required Project Permission |
---|---|---|
Create budgeted template | Project Leads (and above) | N/A |
Create non-budgeted template | Project Creators (and above) | N/A |
Create budgeted template from project | Project Leads (and above) |
Any Project Permission in a project they are participating in Note: Those with Project Creator Account Permissions can create a budgeted template from a project if they have View Financials, Edit Financials, or Project Administrator permissions in that project. |
Create non-budgeted template from project | Project Creators (and above) | Any Project Permission in a project they are participating in |
To apply templates to projects, the following permissions are required:
Action | Required Account Permission | Required Project Permission |
---|---|---|
Apply budgeted template to existing project | Project Creators (and above) | Edit Financials or Project Administrator |
Apply non-budgeted template to existing project | Collaborators (and above) | Edit Tasks, Edit Time and Expenses, Edit Financials, or Project Administrator |
Apply budgeted template during project creation | Project Leads (and above) | N/A |
Apply non-budgeted template during project creation | Project Creators (and above) | N/A |
If you do not see the template you created in the Select a template to use drop-down (when attempting to apply a template to a project), keep in mind that templates with budget information do not appear if the project's Financials have been disabled in Project Settings. Only projects with Financials enabled will inherit budget information from a template.
