Overview
Kantata OX offers a variety of hour types, all of which are directly related to a resource, a project, or both. These hour types include allocated hours, scheduled hours, and estimated hours. This article will explore where each type is found and how each type is used.
Allocated Hours
Allocated hours—commonly referred to as allocations—are entered and managed in Resourcing areas of Kantata. They are defined as how much a resource is “planned” or “allowed” to work on a project based on who’s available and/or most capable of performing the work. Allocated hours are defined at the project-level, as opposed to estimated and scheduled hours, which are defined at the task- or resource-level.
Allocated hours have two states:
- Soft Allocations—These represent tentative, in flux “hours” that act as penciled in placeholders.
- Hard Allocations—These represent confirmed or booked hours on a project.
You can see allocated hours in the following areas of Kantata OX:
- In the Resource Center and from the Resourcing tab of an individual project, allocated hours are represented by solid or striped colored bars on the timeline; click here for more information.
- In the Team Members table on the project Overview tab.
Scheduled Hours
Scheduled hours are entered on each task assigned to a resource within a project. They are defined as the number of hours a resource is scheduled to spend on each task for that project. Scheduled hours are defined at the task- or resource-level, as opposed to allocated hours, which are defined at the project-level.
You can see user scheduled hours in the following areas of Kantata OX:
- From the task row in the Resourcing tab of an individual project. By default, only a team member with schedule hours Project Permissions can enter hours here; click here to learn more.
- By entering hours in the Scheduling tab of the Task side panel. By default, only a team member with with schedule hours Project Permissions can enter hours here.
- The Weekly Schedule page (Time & Expense > Schedule > Weekly) where scheduled hours can be viewed but not edited.
- From the task row in the Resource Center. An account member must have the ability to edit scheduled hours via an Access Group.
- In the project Overview tab. The Team Members table provides a total for each resource while the Project Summary table provides a total for each top level task and its subtasks.
Task Estimated Hours
Task estimate hours are a measurement of effort in time for how long a task in its entirety will take to complete. When tracking time on a project task (or any of its subtasks), you can use the Task Progress view in the Task Tracker to see the current burn rate in the Billable Hours column. We generally recommend the Task Progress view for adding and viewing estimated hours (if not added via template).
To see the Task Est. Hours column in the Task Tracker, you can configure your columns and save the column in a view.
These hours can be entered in the following areas of Kantata OX:
- In the Task Est. Hours column when adding a new task in the Task Tracker.
- In the Task Est. Hours field of the Time & Fees tab in the Task side panel.
- In the Task Est. Hours field of a project template.
You can also see view-only information for task estimated hours in the Project Summary table on the project Overview tab, as a total for each top level task and its subtasks.
Resource Estimated Hours
Resource assignment to task estimated hours are a measurement of effort in time for how long it will take for a single resource to complete a task.
These hours can be entered in the following areas of Kantata OX:
- In the Estimate field in the Schedule tab of the Task side panel; click here to learn more.
- In the Resource Center and in a project’s Resourcing tab under the Estimated column in the task row.
- In the Resources column of a project template.
- In the Resource Estimated Hours column of the Task Tracker.
You can also see view-only information for resource estimated hours in the following areas:
- In the project Overview tab. The Team Members table provides a total for each resource while the Project Summary table provides a total for each top level task and its subtasks.
