Default Account Permissions: Account Administrator
Overview
Resource Requests provide you with a way to make requests when you have staffing demand. Before you can start submitting requests, you must:
- Have Resource Requests enabled in the Resource Management Settings
- Have access to edit resource information
- Add unnamed resources with appropriate roles to the project
Once you have the proper access, be sure to include all relevant skills and custom fields information in your request to ensure that the approver has all the details they need to staff the role.
Resource Requests can be submitted from anywhere in Kantata that you can access the Resource side panel—such as the Resourcing tab in a project or the Rates & Roles page—but the only place to see where resource requests have been submitted is in the Resource Center.
Once a request has been submitted, the Resource Request Approver is notified via email of the request and an Envelope
icon appears next to the unnamed resource in the Resource Center. How to Make a Resource Request for an Unnamed Resource
-
In the left navigation, hover over Resourcing and select Resource Center. The Resource Center opens with the Team Members tab selected by default.
Note: If you navigate to the Projects tab, skip steps 2-3. You will instead locate the project that you want to staff and expand the project row to reveal the unnamed resources in that project. -
To display unnamed resources, select Unnamed in the toolbar.
-
Expand the Role, and select the unnamed resource for the project you want to open the Resource side panel. All requests start as a draft, and information entered is automatically saved.
-
If needed, change the Resource Label. This is useful if you need to distinguish between senior and junior-level resources on a project. You can also change the Role to ensure the correct rate is being used.
-
Add Skills to differentiate needs, as well as Custom Fields to define additional information, such as if the need is location specific.
Note: Resource Custom Fields do not follow standard User Custom Field permissions but are instead dependent on permissions in the Resource Center. In other words, if you can view the resource, you can view all the custom fields. If you can edit, then you can edit the custom fields. -
Use the Activity section to send private messages and communicate additional needs or changes.
-
Select the appropriate person from the Approver drop-down. Once selected, the Approver is notified of the resource request and an Envelope
icon appears next to the unnamed resource in the Resource Center.Note: You will receive an email notification when the request is approved or denied. If the request is approved, the unnamed resource is replaced with a named resource on the project. You can easily find all your requests that are still pending approval by using the Resources filter in the Resource Center. -
If needed, you can still add private messages after a request is submitted, but no other changes can be made without canceling the request. If you cancel the request, you can make the changes you need to Custom Fields or Skills and resubmit.
