Overview

Note: As of May 17, 2023, Kantata OX no longer supports the Google Calendar and Google Tasks integrations. However, our integrations with Google Drive and Google Contacts will continue as usual without any disruption.

Google Workspace and Kantata are a perfect project management pair. With this integration, you can do the following:

Access your Google Drive and share files in any project workspace.
Invite anyone from your Google Contacts list into Kantata for collaboration.
Create a Google Contact for each of your projects.

Note: The Google Workspace integration is automatically available upon account activation. If you would prefer to remove the integration entirely, please contact a Kantata OX Customer Success representative.

Getting Started

The Google Workspace integration with Kantata OX allows you to link Google Drive and Contacts across your entire organization or on an individual user basis.

The individual user option allows you to connect your own Google Workspace account to your Kantata OX account. This way, you can work with your Google documents and contacts in your Kantata projects.

The account-wide option is useful for businesses who want all of their account members to access the same Google Drive and Google Contacts data for a more cohesive experience when working in Kantata OX.

Note: If an Account Administrator activates the account-wide option after a team member has already linked their own Google Workspace account, their individual user integration will take precedence and remain in place until it’s deactivated. At that point, the account-wide integration will automatically activate.

How to Activate an Individual Integration Option

This section walks you through connecting your personal Google Workspace to your individual Kantata OX account. To learn how to set up the account-wide integration, see the How to Activate the Account-Wide Google Integration Option section.

In the top-right corner of your Kantata account, click your user profile picture and then select Google Workspace from the drop-down menu that appears.
On the Google Workspace Settings page, select the checkboxes for each Google app you want to integrate with your account.
Click Activate with Google. You’re redirected to the Google sign-in page.
Enter your username and password to sign in to your Google account.
You’re redirected to the Google access control page, which lists the data Kantata OX will be accessing in your Google account. Click Allow to complete the integration.
The integration is activated and you are redirected back to the Google Workspace Settings page in Kantata OX.

Note: To deactivate the individual integration, click Disable your Google integrations on the Google Workspace Settings page. If your Account Administrator has set up the account-wide Google integration, this button will instead read Override Google integrations. Clicking it replaces your individual setup to the account-wide integration.

How to Activate the Account-Wide Integration Option

This section outlines how to set up the account-wide Google Workspace integration for every account member in Kantata OX. If you’re looking to connect an individual Google Workspace for your own account, see the How to Activate an Individual Google Workspace Option section.

Please perform the following steps in the listed order to fully activate the account-wide integration:

Configure the Kantata OX Client ID in the Google Workspace Admin Console
Define the OAuth scopes in the Google Workspace Admin Console
Sign in to Kantata OX via the Google SSO method

Before You Start
In order to activate the account-wide Google Workspace integration, you must meet the following requirements:

Kantata OX Account Administrator permission level.
A Premier (or higher) Kantata OX subscription plan.
A registered and active domain verified by Google via DNS records.
Access to the Google Workspace Admin console and domain-wide settings.
An account email address in Kantata OX that matches your Google Domain email (i.e. the one you use to log in to the Google Workspace Admin console).

Note: While recommended, it’s not necessary for your Primary email address in Kantata OX to be your Google Workspace email. Just make sure that your Google Workspace email is selected as the Google option in the Email Addresses section of the Notification Settings page. This step is critical for activating the account-wide integration option.

Part 1: Configuring the Kantata OX Client ID

Sign in to the Google Workspace Admin console.
In the left-hand navigation, expand the Security and Access and data control menu options, and then select API controls.
On the API Controls page, select Manage Third-Party App Access.
On the Manage Third-Party App Access page, click Configure new app. A new window opens.
In the App subtab, enter Mavenlink in the search bar.
Select the Mavenlink third-party app in the list that appears.
In the Scope tab, select All in [Domain Name] (all users) and then click Continue.
In the Access to Google Data subtab, select Trusted and then click Continue.
In the Review subtab, click Finish. The app is now configured and appears in the Configured Apps table.
Proceed to Part 2 of the activation process.

Part 2: Defining the OAuth Scopes

Sign in to the Google Workspace Admin console.
In the left-hand navigation, expand the Security and Access and data control menu options, and then select API controls.
In the Domain wide delegation section on the API Controls page, select Manage Domain Wide Delegation.
On the Domain Wide Delegation page, select Add new.
In the Add a new client ID modal, enter the following scope URLs in the OAuth scopes fields:
Click Authorize. The Client IDs appear on the Domain Wide Delegation page.
Proceed to Part 3 of the activation process.

Part 3: Log in to Kantata OX via Google SSO

Go to the Kantata OX login page.
In the 3rd-party service section, click the Google icon. You’re redirected to the Google sign-in page.
Enter your credentials to sign in to the Google Workspace Admin console. You’re redirected to the Google access control page, which lists the data Kantata OX will be accessing in your Google account.
To activate the integration, click Continue.
If this is your first time signing in via the Google single sign-on (SSO) method, you will be prompted to enter your Kantata OX password in the screen that appears.
Click Submit to finish. The Google Workspace flag is now set to On and the email address used to set up the account-wide option is now set as the SSO identity in the Kantata OX backend. The account-wide integration is now activated for all account members and you are redirected back to the Kantata OX Google Workspace Settings page.

CRITICAL WARNING

The Disable account-wide integration button on the Google Workspace Settings page will permanently deactivate the organization-wide Google Workspace integration for every user in Kantata OX. Once this action is performed, it will not be possible to reconnect your Google Workspace to your Kantata OX account ever again. Please be certain before you confirm this change.

Note: Clicking Override Google integrations on the Google Workspace Settings page allows any user, including an Account Administrator, to replace the account-wide activation with the individual account one. Please note that this action won't affect the account-wide integration for other users; it only changes the settings for the individual who selects the override.
