Learn how to view past time off/PTO in the Resource Center and how to delete past time off.
Overview
There may be times when you need to view or delete past time off for yourself or members of your account. You can view past time off from the Resourcing areas and delete past time off from the User side panel.
Viewing Past Time Off in the Resource Center
- Click Resourcing in the left navigation.
- In the Team Members tab of the Resource Center, click Named to view named resources only, then select the Filters button to open the Filters modal.

In the Fields section (the left pane), select Out of Office, then select the Scheduled Time Off checkbox and the Between option, entering the date range for the account member's past time off.
Note: If you are not sure of the date range and you just want to view general time off for a user, you can scroll left or right through the timeline and see where a user has time off or a holiday, indicated by the respective Time Off and Holiday icons. -
When finished, click Apply Filters. Only people with time off in the entered date range appear.
Note: If time off and a holiday are entered on the same day, only a Holiday icon will appear. This is only possible if the holiday is added to the holiday calendar after time off has been entered. To verify that a user does not also have time off on this date, view the project's Resourcing tab.
Viewing Past Time Off in the Resourcing Tab of a Project
- In the left navigation, click Projects, and then select the desired project from the Project List.
- In the project workspace, click the Resourcing tab.
- In the Team Member list on the left side of the tab, click the drop-down arrow to the left of the account member you’re viewing past time off for. The Time Off row appears at the bottom of the expanded list.

Above the timeline, click the Calendar icon and use the back arrow to scroll through and select the date on which the time off previously occurred.
Note: To view the timeline by day, week, or month, click the D (day), W (week), or M (month) icon. - Previous time off for the selected timeframe appears (in hours) on the Time Off row.
Deleting Past Time Off
If you need to delete a user's past time off entry for any reason (e.g. if the time off occurred on a day other than what was originally scheduled), you can do so in the User side panel.
- Click on a member’s name or profile picture from most places in Kantata OX—with the exception of the Account Members settings page—to open the User side panel.
- Click Schedule in the top section.
- Under the Upcoming Time Off section, click Add Time Off. The Time Off modal appears.
- Click the Start Date field and select the date when the past time off period started.
- Click the End Date field and select the date when the past time off period ended. The time off (in hours) for that day automatically loads.
Note: If you want to delete time off that occurred on only one day, select that date for both the Start Date and End Date. - Enter 0 in the Hours section.
- Click Save at the bottom of the modal. The past time off is deleted.
